Owning email by domain name (for example: [email protected]) helps your business look professional, increases credibility and reduces the risk of being classified as spam. The good news is that you can still get started for free if you choose the right solution, and configure proper email delivery authentication to ensure access to your inbox.
Three popular “free” paths
1) Free mailbox by domain with Zoho Mail (recommended to have a real inbox)
Zoho Mail Forever Free Plan: email hosting for 1 domain, maximum 5 users, 5GB/person. The free version does not support IMAP/POP/ActiveSync (using Zoho webmail/app), only the paid version does. Zoho+1
The domain name customization introduction page also confirms the free plan for up to 5 addresses; If you upgrade to a larger quantity, you will need to pay a fee. Zoho
Note: free plan only available in select data centers. Zoho
2) Free email forwarding (forwarding-only) with Cloudflare Email Routing or ImprovMX
Cloudflare Email Routing: create addresses by domain name and forward to the mailbox in use (Gmail/Outlook…) free. No separate inbox, no outgoing SMTP. CloudflareCloudflare Docs
ImprovMX (Free): 1 domain – ~25 aliasfree forwarding; Outgoing SMTP is a premium feature (if needed “Send As” is independent of the web application). improvmx.com+1
3) Yandex 360 for Business (no longer free for private domains)
Domain email belongs to the Yandex 360 for Business package and requires payment; There is no longer a free package for domains like before. 360.yandex.com+1
Quick conclusion: if your business needs free real inbox → choose Zoho Mail Free. If you just need a nice address to receive mail and still want to use your current Gmail/Outlook → choose Cloudflare Email Routing or ImprovMX Free.
Detailed setup roadmap (scripted)
A) Create free inbox with Zoho Mail (5 users)
Register & verify domain
Create organization in Zoho Mail → add domain → verify (TXT/CNAME). Zoho's "set up business email" instructions have clear step-by-step instructions. ZohoPoint MX to Zoho to receive mail
Add 3 standard Zoho MX records:
mx.zoho.com(priority 10)mx2.zoho.com(priority 20)mx3.zoho.com(priority 50)
Zoho specifies the values and has instructions for each registrar. Zoho CorporationZoho+1
Enable SPF/DKIM/DMARC to increase inbox rate
SPF: create/adjust TXT SPF, only 1 SPF record per domain, add
include:zoho.com(or as suggested in Admin Console). ZohoPowerDMARCDKIM: create selector in Zoho → add TXT
selector._domainkeyto DNS → verify. ZohoDMARC: generates TXT
_dmarc(starts withp=none/quarantine/rejectdepending on phase). Zoho
Create user & start using
Create mailboxesinfo@…,sales@…and use Zoho webmail/app (because free without IMAP/POP). Zoho
Sample configuration suggestions (reference):
SPF:v=spf1 include:zoho.com ~all
DMARC (light to follow):v=DMARC1; p=quarantine; rua=mailto:[email protected]; fo=1
(You should create admarc@…box to receive summary reports.)
B) Receive mail via free forwarding, still using current Gmail/Outlook
Option 1: Cloudflare Email Routing
Activate Email Routing for the domain → create an alias (for example
[email protected]) pointing to personal Gmail. Free of charge. CloudflareThis is receive mail; To send with From: hello@…, you need SMTP from a provider (e.g. ImprovMX/Zoho upgrade, or other paid SMTP). improvmx.com
Option 2: ImprovMX Free
Connect domain, add MX/TXT according to instructions → create up to ~25 alias for 1 domain. improvmx.com+1
If you want to send a real “Send As” (not “on behalf of”), turn on ImprovMX's SMTP Relay (premium) or use another party's SMTP. improvmx.com
Important note: if only forwarding and no DKIM signing/non-SPF standard for the sending server, the possibility of Spam will be high. Priority is given to having standard SMTP + full SPF/DKIM/DMARC.
The deliverability issue many people miss
One domain – only one SPF record: if there is already an SPF, include (add
include:) instead of creating a new record. ZohoDKIM required when you send: no DKIM = easy to spam; Zoho has very specific DKIM instructions. Zoho
DMARC by route: start
p=noneto read the report, thenquarantine→reject. ZohoRegion & limits: Zoho Free data center limits; IMAP/POP feature not available in free. Zoho+1
Yandex 360: domain mail is in the paid package, no longer free for private domains. 360.yandex.com+1
Suggestions for practical deployment at scale
Startups ≤5 people: Zoho Mail Free to have real inbox + SPF/DKIM/DMARC; When you need CRM/calendar/IMAP, upgrade. Zoho
Already have a personal Gmail/Outlook but need a quick “nice” address: Cloudflare Email Routing or ImprovMX Free to receive, combine a cheap paid SMTP to send with standard DKIM. Cloudflareimprovmx.com+1
Businesses need deep collaboration: consider Google Workspace/Microsoft 365 (paid) for work ecosystem – but this article focuses on focus on free lanes first.
